For private practices
Klinikbook gives a single-doctor or small-team practice a simple way to run bookings, reminders, enquiries and check-ups: patients book online, get e-mail reminders, and follow-up starts on its own once they have been seen. The Solo plan covers three users and one location.
What does a day in a private practice look like?
In a private practice, most of the work rests on the doctor and one assistant or receptionist. Patients come through recommendations, web searches, your website or social media; most are local, some travel from abroad. The phone rings all day and appointments live in a diary or on a phone calendar.
In that set-up the usual losses are the patient who forgets the appointment, the call nobody returns and the check-up that quietly slips past its date. You can bring order to all three without a heavy software project, in a workspace that runs in the browser.
A practice workspace starts with a short pipeline: New enquiry, Contacted, Appointment booked, Seen and Follow-up. A location with opening hours, you as the practitioner and a 30-minute “Consultation” type for the booking page are ready from the first day.
Typical problems in a private practice
A patient's path through your practice
- 01
Booking request
The patient picks a time on the booking page or rings; your receptionist books one of the free slots in the calendar.
- 02
Confirmation
You approve the request and the patient gets a confirmation e-mail; if you wish, each booking also opens a case.
- 03
Reminders
Reminder e-mails go out at the times you set. If the patient cannot come, they cancel from the link and the slot is free again.
- 04
Consultation
When the patient arrives, the appointment is marked as arrived. Your clinical notes stay in your own software, and the case moves to “Seen”.
- 05
Check-up
The follow-up plan runs. On the check-up day the patient gets an e-mail and your assistant rings to book the visit.
- 06
Documents
Put any information leaflets for the patient on the portal; they sign in with a code sent by e-mail and download them.
Plans that suit a practice
Every plan has every feature; for a practice, the deciding factors are the number of users and locations.
| Plan | Users | Locations | Storage | Typical fit |
|---|---|---|---|---|
| Solo | 3 | 1 | 10 GB | A doctor working with one or two assistants |
| Team | 10 | 3 | 50 GB | A shared practice with several doctors, or a doctor seeing patients at two or three addresses |
See prices
For up to three users the Solo plan is enough. Pay monthly or yearly, with no setup fee, and cancel in one click whenever you like.
Frequently asked questions
Will it replace my practice software?
No. Klinikbook keeps no consultation notes, diagnoses, prescriptions or medical records; those stay in the software you already use. It handles bookings, reminders, enquiries and check-ups: the relationship with the patient.
Are reminders sent by text message?
No, reminders go by e-mail, and you can set up to three reminder times per appointment. Every e-mail carries a link for the patient to confirm or cancel.
Does the booking page show prices or reviews?
No. It shows only your practice's name, address and phone number, the appointment types with their length and the doctors with their titles. Search engines do not index it.
What can my receptionist see?
A front-desk user manages contacts, the calendar and appointments, but does not see cases, quotes or payments. You can change roles at any time.
Can I import my current patient list?
Yes. Save it from Excel as CSV, map the columns and import it; people already on file are skipped.
Can I use it on my phone?
Yes. Klinikbook runs in the browser and installs on a phone or computer like an app. Add your personal calendar feed to see appointments in your own calendar too.

- ProductAftercare follow-upKlinikbook runs aftercare from plans you set per treatment: on each check-in day the patient gets an e-mail and a team member gets a follow-up task. The patient answers on the portal with how they feel and photos, and anyone who asks to be contacted is not missed.
- GuidesHow to reduce patient no-showsYou reduce no-shows by making an appointment easy to confirm and just as easy to cancel: book it as soon as you can, send one or two reminders that ask for an answer, offer freed slots to someone else straight away, and keep a record of who missed and why.
- ProductPatient and case pipelineIn Klinikbook every enquiry becomes a case with an owner and a stage, and each step from the first message to the quote, appointment, treatment and aftercare sits on one timeline.
