FAQ

Questions clinics and agencies ask us

Straight answers on getting started, what it costs, what Klinikbook does and does not do, and how your patients' data is protected. Search, or pick a topic.

Getting started

What is Klinikbook?

Klinikbook is patient relationship and operations software (a CRM) for clinics, hospitals' international patient units, private practices and health-tourism agencies. Your team handles enquiries, intake, quotes and deposits, appointments, trips and aftercare in one place.

Is it suitable for a small private practice?

Yes. The Solo plan is for three users and one location - enough for the doctor, a secretary and a coordinator. Every plan has every feature; the plans differ only in users, locations and storage.

How do I start? Do I have to wait for someone to set it up?

No. You sign up with your name, e-mail address and a password, and the link we e-mail you signs you in. Once you choose your workspace's name, its kind and the treatments you work with, your pipelines, services, intake questionnaires, lead form and privacy notice come ready.

Do I need to install anything? Can I use it on my phone?

There is nothing to install: Klinikbook runs in the browser. You can add it to your phone or computer like an app (it is a web app you can install). There is no separate app in the App Store or Google Play.

Which languages does it work in?

The app is in English and Turkish, and each user chooses their own language. The forms, the patient portal and the e-mails your patients receive are in English and Turkish too.

How do I add my team? Does everyone see everything?

You invite colleagues by e-mail, and roles decide who sees and does what: administrator, coordinator, practitioner, front desk, finance, marketing and read-only. Finance, for example, sees the payments ledger without reading the cases, and a quote's internal costs are shown only to people allowed to see them.

Can I see a demo before deciding?

Yes. Fill in the demo request form and we usually reply by e-mail within one business day to arrange a call in which we show Klinikbook on your own workflow. You can also start the 30-day trial straight away.

Pricing and billing

How much does Klinikbook cost?

The price is per workspace, paid monthly or yearly: the Solo, Team and Pro plans, and an Enterprise plan by contract. The current prices are on the pricing page in lira, euros and pounds, before VAT.

See the prices

What is the difference between the plans?

Only the number of users, the number of locations and the storage. Every feature is in every plan, and there is no limit on contacts. Your partners' guest users do not take up a user seat.

How does the trial work? Do I need a card?

Every new workspace starts with a 30-day trial with every feature open, and no card is asked for. During the trial the Pro plan's allowances apply. Each person gets one trial.

What happens when the trial ends?

If you choose a plan during the trial, it starts when the trial ends, so you lose no trial days. If you do not, the workspace becomes read-only: your records stay visible and can be exported. Choosing a plan opens it again; otherwise its data is deleted 90 days later.

How do I pay?

You pay each invoice by bank transfer, quoting the reference on the invoice, and you can upload the transfer receipt in the app. Customers in Türkiye pay in lira; customers elsewhere can choose euros, pounds or lira.

Can I cancel at any time? Is there a set-up fee?

Yes, you cancel with one click and keep using Klinikbook until the end of the period you have paid for. There is no set-up fee. Paying yearly costs ten months instead of twelve.

Can I change plan if my team grows?

Yes. A larger plan applies at once, and only the difference for the rest of the period is invoiced. A smaller plan, or another billing period, starts at the end of the current period.

Features

What can my team do in Klinikbook?

Contacts and cases (a board and a list, automatic assignment, response-time targets, tasks), lead forms, intake and doctor review, quotes and payment schedules, appointments and the calendar, trips, aftercare, commissions, reports and the compliance center. Your patients do their part in the patient portal.

How do enquiries from my website reach Klinikbook?

You share your lead form's own page or add the form to your website with its embed code. Each submission finds or creates the contact, opens a case assigned by your rules and records where it came from: the campaign (UTM) parameters, the referring site and the landing page.

Does it integrate with WhatsApp?

There is no WhatsApp Business integration. From a contact's record you can call, open a WhatsApp chat or write an e-mail in one tap, and you log the conversation on the case as an activity. Klinikbook does not send SMS either.

What do my patients see?

Your patient signs in to the patient portal with a code sent to their e-mail or through a secure link. There they fill in the intake, compare and accept quotes, see the payment schedule and upload transfer receipts, confirm or cancel appointments, see their trip itinerary and answer aftercare check-ins. They reach only their own records.

Can patients book online? Does it sync with Google Calendar?

Yes, patients can book online: you share your booking page or add the booking widget to your website, as instant booking or as a request you confirm. Double bookings are prevented, and up to three reminder e-mails go out per appointment. Each member's calendar can be followed in Google, Apple or Outlook through a one-way iCal feed; there is no two-way sync.

Can I keep examination notes, diagnoses or prescriptions in it?

No. Klinikbook is not a medical records system: it keeps no examination notes, diagnoses, prescriptions or charting. You keep clinical records in the system you use for them; Klinikbook runs the relationship with the patient and the operations around it.

Health tourism

What is there for health-tourism agencies and clinics?

Trips per case: the travellers, arrival and departure flights in local time, hotel stays, transfers confirmed by your partners and treatment days. The arrivals board shows who is coming, and trip statuses move on by themselves as the dates arrive.

How do I work with hotels and transfer companies?

You keep your partners' records, their people and their documents. When you share a trip with a partner, that company's guest users see only what is shared and confirm their transfers; guests do not take up a user seat.

Does the patient's deposit go through Klinikbook?

No. Klinikbook never touches patients' money. The patient pays straight into your bank account, and you follow the payment schedule, the payments received, refunds and the receipts the patient uploads in Klinikbook.

Does Klinikbook send us patients or take a commission?

No. Klinikbook is not a marketplace: it does not recommend clinics to patients, does not list you anywhere and takes no commission. You pay the subscription only. Its commissions section is for the commissions you pay your own sales team and partners.

Can I keep track of intermediaries' licences?

Yes. You record your partners' licences, such as the USHAŞ authorisation, with their expiry dates. A health facility in Türkiye can mark a partner as its intermediary only once that partner's USHAŞ authorisation has been checked, and trips that came through an unchecked partner show a warning.

Data protection and security

Where is our data kept?

All data is kept on Contabo servers in Germany. The databases and files run on private networks that cannot be reached from the internet, and every connection is encrypted.

How your data is protected

Can Klinikbook staff see our patient records?

No. Klinikbook staff do not open your workspace's patient records. When you need support, the owner or an administrator grants support access with a purpose and a duration of 1 to 72 hours; during it our staff read only the activity log, never a patient record, and every look is written to your own log too. You can end the access at any time.

Could our data ever mix with another clinic's?

Each workspace's records are kept apart twice: in the application, and by row-level security in the database itself. Even if the application made a mistake, a request for one workspace could not read another's records.

How does Klinikbook help with KVKK and GDPR?

The compliance center has the Türkiye and EU/UK country packs, privacy notice and explicit consent templates filled in with your details, photo and marketing consent templates, data subject requests (a copy of the data, correction, erasure, restriction, objection), a retention policy and the activity log. Klinikbook acts as your processor under the data processing agreement the workspace owner accepts. It gives no legal advice.

How are patients' photos and documents protected?

Photos and documents are kept in private storage and open only through links that expire within minutes. Uploaded files are checked to be the format they claim to be, and documents are scanned for malware before they are stored.

Is there two-step sign-in?

Yes: two-step sign-in with an authenticator app, with one-time recovery codes. It is recommended to everyone, and a workspace can require it of every member.

What happens to our data if we leave?

The owner can download one zip file with every record and file from the settings (it is kept for 7 days) and close the workspace. A workspace that ends without a plan has its data deleted after 90 days, and the backups expire 14 days later.

Moving from Excel or another tool

Can I import my patient list from Excel?

Yes. Save the list as CSV in Excel and import it (up to 5 MB and 20,000 rows). Klinikbook recognises columns by their English or Turkish headings and suggests how to match them; for numbers written without a country code you choose the country. You can give everyone you import a source, tags and an owner.

What if the same person is in the list twice?

When you import, you can skip every row whose phone number or e-mail address already belongs to a contact. Duplicates that appear later are flagged, and you can merge two records into one person.

Can I move from another CRM or patient tracking tool?

Yes. Export your contacts from that tool as CSV and import them the same way. The import is for contacts: past notes and cases are not imported, so you open your ongoing cases in Klinikbook and carry on from there.

Your question is not here?

Write to [email protected] and a person on the team answers, in English or Turkish. If you would rather talk it through, ask for a demo.
