Patient coordinator

Definition

A patient coordinator is the clinic or agency team member who handles contact with the patient from enquiry to aftercare, answers their questions and keeps the quote, appointment, payment and travel steps moving.

What does a coordinator do all day?

In the morning they reply to enquiries that came in overnight, chase patients for missing photos and prepare or send quotes for cases the doctor has reviewed. In the afternoon they check flights and transfers for tomorrow's arrivals and call patients whose deposit has not come in. Often they speak the patient's language and are the patient's first point of contact at the clinic.

To work well, a coordinator needs to see at a glance which cases are theirs, which are overdue and what needs doing today. Coordinators do not make medical decisions; questions about treatment go to a doctor. In hospitals' international patient units, coordinators are often split by language or country.
