Payment schedule
Definition
A payment schedule sets out how and when the total of an accepted quote is to be paid, item by item. It usually consists of a deposit and a balance, each with its own due date.
What does a payment schedule track?
When the patient accepts a quote, the schedule is set: say a 500 euro deposit within 7 days of acceptance and the balance on the day of treatment. Each item has a status, whether paid, part paid, due or overdue, so the finance team can see at a glance how much each patient still owes.
Refunds and cancellations go on the schedule too. If treatment is postponed the due date moves; if the patient withdraws, the schedule is cancelled with a reason and any refund is recorded. These records underpin both reconciling the bank account and working out commissions. Amounts stay in the quote's currency and are never converted.
