The same jobs, in two setups
- A new enquiry
- Spreadsheet and messagingWhoever sees the message adds a row; who deals with it is asked separately
- KlinikbookA form enquiry opens a case assigned to a coordinator by your rules; its source is recorded
- Where the patient stands
- Spreadsheet and messagingA column; if the person updating forgets, nobody knows the real state
- KlinikbookA stage on the case board; stages come from a pipeline template and changes are written to the timeline
- Quote and deposit
- Spreadsheet and messagingA separate document or message; which version was accepted can be unclear
- KlinikbookA quote in immutable versions; the patient accepts on the portal and a payment plan with deposit and balance due dates is created
- Appointments
- Spreadsheet and messagingA calendar and notes; someone has to spot the clash
- KlinikbookThe same practitioner, room or device cannot be booked twice; the patient confirms or cancels from a link
- Talking to the patient
- Spreadsheet and messagingIn the chat app; the history lives on someone's phone
- KlinikbookThe team adds the conversation to the case as a note; chat messages are not collected automatically
- Consent and privacy
- Spreadsheet and messagingScattered; you search for who agreed to what
- KlinikbookConsents are recorded on the person; privacy notices are published in versions; data requests run in the compliance center
- When a team member leaves
- Spreadsheet and messagingThe sheet and the phone go with them
- KlinikbookTheir contacts and cases are handed over; the records stay in the workspace
- Cost
- Spreadsheet and messagingThe tools are free or cheap
- KlinikbookA 30-day free trial, then a plan; current prices are on the pricing page
When a spreadsheet and chat are enough
- You look after a few patients a month and one person runs the work.
- Tracking quotes, deposits and appointments is not a problem for you.
- You can take on the legal responsibility and the backups of keeping patient data in a sheet yourself.
When Klinikbook fits better
- Several people deal with the same patients and it must be visible who did what.
- Enquiries come from several places (website, ads, partners) and you want to know which one brings patients.
- You receive patients from abroad and want flights, stay, transfers and aftercare in one place.
- You must be able to show who holds patient data and on what consent.
Frequently asked questions
Does Klinikbook replace WhatsApp?
No. You can keep talking to patients on WhatsApp; Klinikbook does not collect those chats automatically. Your team adds the important messages and calls to the case as notes.
How do I move my data from a spreadsheet?
Save the sheet as a CSV and follow the import steps on the Contacts screen. You match the columns, and the same person is not added twice.
