SolutionsFor IVF centres
In a hard time, careful and orderly communication
Klinikbook helps IVF centres run enquiries, appointments, quotes and the travel of patients from abroad with care. It keeps administrative information only: no medical records, treatment plans or test results.
- Enquiries and appointments
- A six-language portal
- Restricted visibility

Administrative order in a sensitive field
How it usually goes
- Enquiries come by phone, message and form, separately.
- A couple's details from abroad are scattered across many chats.
- Nobody is sure who can open which record.
- No one knows if the privacy and consent texts are current.
With Klinikbook
- Each enquiry lands in a single case with its source.
- The patient sees appointments and documents on the portal in their language.
- Record visibility by team, and an activity log.
- Privacy and consent texts are published; approvals are versioned.
Contacts
Know the person you are writing to
A contact card holds contact points, consents and appointments. You can turn off fields such as date of birth, nationality and preferred channel in the workspace to collect the minimum.
- Switch fields off
- Call or WhatsApp link in one tap
- Consent records

Visibility
Only the right team sees a record
Create teams in the workspace and choose, per role, whether people see everything, their team's records or only their own. Owners and managers always see everything. Members' actions go to the activity log.
- A visibility rule per role
- The activity log filters and exports as CSV
- Two-step sign-in can be required for the workspace

What the patient sees
A patient abroad finds their way in their own language
The portal speaks English, Turkish, German, Arabic (right to left), Russian and French. The patient sees the next step, their appointment and documents on the first screen. If they travel, trips and accommodation are added to the case.
- No password
- Your centre's name and contact details
- Confirm or cancel an appointment

Compliance
Health data is special-category data
The compliance centre builds privacy and explicit-consent texts from a template for your country pack and publishes them in versions; it also logs data requests (copy, erasure, correction). Take the legal assessment to your own counsel.
- A published privacy notice
- A record of approvals
- Data requests

Does it keep treatment plans or test results?
No. Klinikbook keeps no medical records, treatment plans, test results or files. It runs administration only: enquiries, appointments, quotes, payment records and contact.
Is there a record for the couple?
Records are per person. Whether to add a partner as a separate contact is the centre's decision; keep only the administrative information you need.
Can we hold video calls with patients abroad?
No. Klinikbook offers no video sessions; contact is by portal messages, e-mail and, if you connect them, your own WhatsApp or SMS account.
Does it send SMS?
E-mail is the default. If you want, connect your own SMS (Netgsm, İleti Merkezi, Twilio) or WhatsApp Cloud API account; messages go out from your account and are informational.
