Cancellation policy
Definition
A cancellation policy is the rule, written in advance, for what happens to the deposit and payments if the patient or the clinic cancels or postpones treatment; it is shown to the patient with the quote.
What does it cover?
A good cancellation policy says what the deposit is for, what share is refunded by date range if the patient cancels, what happens if the clinic cancels, how a medical reason for not treating is handled, what counts as force majeure and how a refund is paid. The days and shares are not a rule but your business decision, set from the costs you cannot recover.
Show the policy with the quote before asking for payment and record the patient's acceptance. Consumer rules such as the withdrawal right in distance contracts may apply; show the text to a lawyer before you publish it. See the guide on deposit and cancellation policies for detail.
